Submission and Peer-Review Process

EPIC 2026 implements a structured and rigorous multi-stage review process beginning with extended abstract submission, followed by full paper evaluation.

Stage 1. Abstract Submission

  • Authors submit extended abstracts
  • Evaluated for scope relevance
  • Originality and novelty assessed
  • Scientific significance considered
  • Selected abstracts proceed to full paper

Stage 2. Full Paper Submission

  • Invited authors submit full manuscript
  • Must follow conference template
  • Original and unpublished work required
  • Plagiarism screening conducted

Stage 3. Peer Review

  • Double-blind review process
  • Minimum two independent reviewers
  • Third reviewer if needed
  • Criteria: originality, quality, clarity, relevance

Stage 4. Editorial Decision

  • Accepted
  • Minor Revision
  • Major Revision
  • Rejected

Stage 5. Notification

  • Authors notified via email
  • Status tracked in submission system
  • Revisions must address reviewer comments

Stage 6. Camera-Ready

  • Finalize manuscript formatting
  • Incorporate reviewer feedback
  • Pass final similarity check
  • Ready for publication submission

Publication Ethics

EPIC 2026 is committed to upholding the highest standards of scholarly integrity. The organizing committee adheres to the COPE (Committee on Publication Ethics) Guidelines for Transparency and Best Practice in Scholarly Publishing.

All committee members, reviewers, and authors are expected to comply with the COPE Code of Conduct, including commitments to:

  • objectivity and fairness in evaluation
  • confidentiality of the review process
  • disclosure of conflicts of interest
  • prevention of plagiarism, self-plagiarism, and data fabrication

Plagiarism and Originality Screening

All submitted manuscripts undergo screening for plagiarism and self-plagiarism using iThenticate prior to peer review. Manuscripts with a similarity index exceeding 20% (excluding references, quoted material, and common phrases) will be returned to authors for revision.
Manuscripts with excessive similarity may be rejected without review.

Authors are reminded that:

  • Submitted work must be original and not published or under review elsewhere
  • Self-plagiarism,  reuse of the authors’ own previously published text without proper citation, is not acceptable
  • Proper attribution and citation of all prior work is required in accordance with AIP Publishing’s ethical standards

Conference Format and Attendance Policy

EPIC 2026 adopts a hybrid conference format with mandatory presentation requirements for all accepted papers.

Author Substitution

If the presenting author is unavailable, a co-author may present the paper on their behalf.
